Qualification Notice
Vendor approval is contingent upon the successful review, verification, and ongoing maintenance of all required documentation, qualifications, certifications, insurance coverage, and compliance standards established by Aplis. As part of our commitment to operational excellence, risk management, and regulatory compliance, all vendor applications are subject to a thorough assessment process to ensure alignment with our business requirements and service expectations. Aplis reserves the right to request additional information, supporting documentation, references, or clarification at any stage of the qualification, onboarding, or engagement process. We may also conduct periodic audits, performance reviews, compliance assessments, and credential verifications to confirm that vendors continue to meet qualification requirements throughout the duration of the business relationship. Failure to maintain required insurance coverage, licenses, certifications, safety compliance, service standards, or other qualification requirements may result in corrective action, suspension, or removal from the approved vendor network. Submission of an application or supporting documentation does not guarantee approval, work assignments, contractual engagement, or continued participation within the Aplis Global vendor program.

TRUSTED SERVICE PARTNERS

Vendor Qualification Requirements

Aplis maintains a rigorous vendor qualification process to ensure that all contractors, suppliers, consultants, and service providers meet our standards for safety, compliance, professionalism, and service excellence. Before being added to our approved vendor network, vendors must demonstrate their ability to meet the requirements outlined below.

  • All vendors engaged by Aplis must maintain adequate insurance coverage appropriate to the services they provide. Insurance coverage serves as a critical risk management measure, protecting clients, properties, employees, residents, visitors, and business operations from potential liabilities arising from vendor activities. Vendors are responsible for ensuring that all insurance policies remain active and in good standing throughout the duration of their engagement.

    Requirements:

    • Current Commercial General Liability (CGL) Insurance

    • Minimum coverage limits appropriate to the scope of work

    • Automobile Liability Insurance for vendors operating vehicles on behalf of their services

    • Professional Liability / Errors & Omissions Insurance where applicable

    • Cyber Liability Insurance for technology, software, or data-related service providers

    • Proof of insurance provided prior to onboarding

    • Immediate notification of policy cancellation, lapse, or material changes

    • Insurance certificates renewed and submitted upon expiration

    • Ability to provide additional insured endorsements if requested

  • Aplis is committed to maintaining safe working environments for employees, contractors, clients, tenants, and the public. Vendors must demonstrate compliance with all applicable occupational health and safety legislation, industry standards, and best practices. Vendors are expected to actively manage workplace risks and foster a culture of safety throughout their operations.

    Requirements:

    • Written Health & Safety Policy

    • Compliance with provincial and federal health and safety regulations

    • Current WSIB Clearance Certificate or equivalent workers' compensation coverage

    • Worker safety training and competency records

    • Hazard identification and risk assessment procedures

    • Emergency response and incident reporting protocols

    • Personal Protective Equipment (PPE) compliance

    • Safe operation of equipment and machinery

    • Reporting of workplace incidents, injuries, or near misses

    • Commitment to ongoing safety training and awareness

  • Vendors must possess and maintain all licenses, permits, certifications, registrations, and professional credentials required to legally perform their services. Documentation must remain current and valid throughout the vendor relationship. Aplis reserves the right to verify qualifications at any time.

    Requirements:

    • Applicable trade licenses and permits

    • Professional certifications and designations

    • Regulatory registrations and approvals

    • Municipal, provincial, and federal compliance requirements

    • Industry-specific certifications where applicable

    • Continuing education and credential maintenance

    • Proof of licensing upon request

    • Immediate disclosure of license suspensions or disciplinary actions

    • Compliance with all governing regulatory bodies

  • Aplis partners with vendors who consistently demonstrate professionalism, reliability, accountability, and excellence in service delivery. Vendors are expected to represent themselves and the organizations they serve with integrity while delivering high-quality results that meet or exceed expectations.

    Requirements:

    • Professional communication and responsiveness

    • Timely completion of assigned work

    • Adherence to agreed-upon service levels and deadlines

    • Respectful interactions with clients, residents, tenants, staff, and stakeholders

    • Consistent quality workmanship and attention to detail

    • Accurate and transparent pricing practices

    • Proper scheduling and attendance management

    • Effective problem-solving and issue resolution

    • Commitment to customer service excellence

    • Maintenance of professional appearance and conduct

    • Emergency response capability where applicable

    • Continuous improvement of service delivery practices

  • Accurate and current documentation is essential to maintaining compliance, accountability, and operational efficiency. Vendors must provide all required information during onboarding and ensure records remain up to date throughout their engagement with Aplis.

    Requirements:

    • Completed Vendor Application Form

    • Business registration documentation

    • Articles of Incorporation or business ownership records (if applicable)

    • Insurance certificates

    • WSIB Clearance Certificates

    • Licensing and certification records

    • Banking and remittance information

    • Emergency contact information

    • Health & Safety documentation

    • Trade references or client references upon request

    • Updated documentation upon renewal or expiration

    • Signed vendor agreements and acknowledgements

    • Any additional documentation required by specific contracts or projects

  • Vendor qualification is not a one-time approval process. To ensure ongoing compliance and performance, Aplis conducts periodic reviews and may request updated information, documentation, or corrective actions as necessary. Vendors are expected to maintain compliance at all times and cooperate fully with review processes.

    Requirements:

    • Annual compliance reviews

    • Ongoing performance evaluations

    • Renewal of insurance and licensing documentation

    • Updated WSIB and safety records

    • Participation in vendor audits when requested

    • Compliance with contractual obligations

    • Prompt correction of identified deficiencies

    • Maintenance of qualification standards throughout engagement

    • Cooperation with investigations and compliance assessments

    • Continuous adherence to Aplis Global policies and procedures

    • Potential suspension or removal for non-compliance
